· Registration will be confirmed only after the full payment is received. Participants who do not receive a confirmation notice before the conference are requested to contact the registration secretariat at [email protected]

· Only participants who complete their registration will be included in the program.

· The date of payment determines the applicable registration fee. Even if the registration form is submitted before the specified deadlines, it will not qualify as early or regular registration unless payment is received by the deadline.

· Registration confirmation will be sent within 48 hours of payment (excluding weekends). For payments made via bank transfer, it may take up to one week to receive confirmation.

· To qualify for the student registration fee, participants must provide documentary proof of student status, such as an official transcript or a copy of a valid student ID card, along with the registration form. Without this documentation, student fees will not apply. Please email the necessary documents to [email protected]

Methods of Payment:

Payment via Bank Transfer

· All fees must be paid in EUR (€) and free of any bank charges.

· The participant’s name, last name, date and amount of transfer, and “VITM 2025” should be clearly indicated on the transaction receipt.

· A copy of the transaction receipt must be sent to the registration secretariat at [email protected]

· Bank charges are the sole responsibility of the participant and should be paid in addition to the fees.

Final Invoice

· The final invoice will be issued after the conference. It will be based on the details provided during online registration.

Cancellation Policy – Registration:

· Cancellations made on or before April 29, 2025: 50% refund

· Cancellations made on or after April 30, 2025: No refund.

· Notification of cancellation must be submitted in writing to the secretariat at [email protected]

Refunds:
Registration refunds will be processed within 30 days after the end of VITM 2025. Bank charges will be deducted from the refund amount.
